The Registration Fee Includes:
*Paper publication (Accepted and registered full paper only)
*All keynote sessions and parallel sessions during the conference
*Two coffee breaks, lunch and dinner on December 13, 2025

Guidelines
The accepted papers will be published online conference proceedings.
An acceptable is at least 5 pages per paper, if the paper exceeds 5 pages, the additional pages will be charged as 70 USD/ page.
The registration fee is subjected to the deadline which is indicated as "early, regular, onsite" in the registration fee table.
The Participants attend meeting session of December 13 only to do presentation, not publish paper, please choose "One day Program" registration.
The participants attend conference as listener, please download the registration form in which you can find the payment method. After payment, please send us your filled registration form and payment voucher.
Payment
The conference’s online payment system does not impose any additional fees. However, please note that credit card payments may incur a small currency exchange commission fee, which is charged by the cardholder's bank. This fee will be the responsibility of the cardholder.
For wire transfer payment, bank charges are borne by the applicant.
Notes
The registration will not be confirmed unless the registration fee being paid in full and payment details being received by the conference organizer. A confirmation email will be sent to the registrant once the registration being completed.
全额缴纳注册费并提交缴费证明后，方可确认注册成功。注册成功后，参会者将收到注册证明，届时请凭此证明至现场办理注册手续。
Other co-authors and accompanying persons can register as listeners.
一篇论文的其他作者或是陪同人员可注册为听众。
At least one author of a paper should register for the conference, and at least one author should present the paper at the conference. Otherwise, the paper will not be included in the conference proceedings.
每篇文章需至少一名作者注册并做报告，否则论文将不予收录至论文集。
Submission and registration must be managed using the officially authorized channels (online system, email address) published on this website. Regular consultation can be carried out through WeChat (published on the website).
大会从未指定且不承认任何非官方投稿注册渠道，请参会者通过大会官网指定渠道投稿。
The process of registration and publication will be noticed through inquiry@icape.org.cn. Please do not trust any non-official contacts. If you receive any suspicious call, text message, email or notice any suspicious website, please report to us immediately. The conference organizer accepts no responsibility for any losses caused by unauthorized third party.
论文通知与注册流程都将由大会官方邮箱以邮件形式通知，切勿相信任何第三方投稿平台或通过非官方的渠道缴纳注册费，否则，造成的任何财产或经济损失均由个人承担；如有任何非官方人员联系您，请勿泄露您的论文及个人信息并及时与我们取得联系。
Disclaimer
The conference organizer reserves the right to change the conference dates, place and format and shall be relieved of any refund or compensation obligations where the performance of the conference is prevented or affected by reason of circumstances which amount to "force majeure". Such circumstances include but are not limited to natural disasters, riots, terrorist activity, war (declared or undeclared), epidemic and all similar situations beyond the organizer's control.

Content will be submitted to the major databases for indexing. As indexing services are provided by independent organizations, the conference organizer cannot guarantee that any abstract or index entry will be included in any particular database.
检索结果以检索机构最终结果为准，会议主办方无法保证任何论文包含在任何特定数据库中。
Cancellation Policy
The conference dates, venue, format might be rearranged due to the situation of the conference. Please confirm conference format with the organizer two months ahead of the conference to make a travel plan. Attendants to onsite conference are recommended to make earlier reservation of hotels by themselves.
会议时间、会场、举办形式或根据相关情况做出调整，请参会者提前两个月向主办方咨询详细信息。线下参会者请自行提前预订住宿。
若注册者因个人原因无法参会，请提前与会议主办方联系，安排他人代替出席，或将参会资格转至HKSRA其他会议（15个月以内）。若无法采取上述解决方案，可申请退费，详情请参照以下“退费条款”：
- 会议开始日期前90天内: 退回已付注册费的70%
- 会议开始日期前60天至90天: 退回已付注册费的60%
- 会议开始前30至60天: 退回已付注册费的50%
- 会议开始前不足30天: 不予退费
注意
*取消参会和申请退款需将正式申请文件发送至邮箱 inquiry@icape.org.cn。
*如最终缺席会议，主办方将不予退款。
Rearrangement should be made in consultation with the conference organizer if the registrant is unable to attend ICAPE 2025 for personal reason. They may substitute someone else to attend the conference, or transfer their participation to next edition or other sponsored conferences by HKSRA (within 15 months). If the aforementioned solutions are not applicable to the registrant, the following policies of cancellation and refund apply.
- Up to 90 days prior to the conference date: 70% refund of the registration fees paid
- Less than 90 days, but more than 60 days prior to the conference date: 60% refund of the registration fees paid
- Less than 60 days, but more than 30 days prior to the conference date: 50% refund of the registration fees paid
- Less than 30 days prior to the conference date: No refund
Please note
*The cancellation and refund request must be made formally through email to inquiry@icape.org.cn.
*For “No-Show” without cancelation notice sent within the period specified in the policy, the registration fee is nonrefundable.
Organizer Statement
The organizer reserves the right to adjust the conference date and venue due to any unexpected circumstances or force majeure events.
Participants are required to wearing the name tag when attending the conference. Non-participants without name tags are not allowed to enter the conference area if not permitted.
Please take good care of all your belongings in the public area on the conference site. The conference organizer is not responsible for any loss or damage of property.
